Version 2026-10-05
What hey-capt keeps, who handles it, and how to have it sent to you or deleted.
What we keep
- Your email address, to sign you in.
- The documents you upload, and the text read from each page.
- What the app works out from them: how each is filed, the facts it records, spend totals, and any corrections you make.
- The questions you ask, the answers given, which documents and lookups each answer used, and any rating or note you leave on an answer.
- A record of each AI call: which account, boat and document it was for, and how large it was - not what it said.
- Error reports, which carry ids only - never document text, file names or anything you wrote.
- That you agreed to these terms, which version, and when.
- If you join the waitlist on heycapt.co: your email, the boat and the feature you chose to tell us about, the page or campaign that sent you there, and when you joined, confirmed and were invited. It is used only to invite you and to count interest.
The app sets two cookies, only to keep you signed in. There are no advertising or tracking cookies. We never sell your data or use it for advertising.
heycapt.co keeps a random id in your browser to count visits and sign-ups. It is stored with your waitlist entry, but the analytics service never receives your email.
Who handles it
- Anthropic reads your documents and writes the answers to your questions. Under Anthropic's commercial terms it does not use them to train its models, and it deletes them within 30 days - longer only where needed to enforce its usage policy or required by law.
- Supabase stores the database and your files, and runs sign-in.
- Resend sends your sign-in and waitlist emails, so it sees your email address.
- PostHog receives error reports, and counts of visits and sign-ups on heycapt.co, which carry ids only.
- Our hosting provider runs the app.
People you add to a boat see that boat's documents. We look at your data only when needed to run the app, fix a problem or answer your request.
We read questions and answers - especially ones rated unhelpful, or that found nothing - to make the app answer better. A question we turn into a test case is rewritten with invented details first; your boat's own documents are never copied into one. Nothing you ask is used to train an AI model.
How long we keep it
Until you delete it. Deleting a document in the app removes the file, its text and everything read from it. Daily database backups are kept for 7 days, so a deleted record is gone from them within a week. Uploaded files are not in those backups.
A copy, or deletion
To leave the waitlist, use the link in any waitlist email; your entry is deleted at once.
Ask through Contact us in the app for:
- A copy of your documents and everything filed from them.
- Deletion of your account and data. We complete it within 30 days.
- Anything else about your data.
Changes
If this policy changes, the new version carries a new date and the app asks you to agree again before you continue.
